Invoice a client
Since 4.2.0 you can bill your client from the project you designed. landplan.io emails them the invoice with a link to a secure page where they pay by card or bank account, without making an account. You see when they open it and when they pay, the project's status and due date update themselves, and the money is paid out to your bank.
Before your first invoice: payouts
Payments go through Stripe. Before you can send an invoice, set up payouts once: Settings › Reminders and invoicing › Set up payouts with Stripe, or the Set up payouts step the invoice window shows. Stripe asks for your identity and the bank account to pay. It takes a few minutes.
Send an invoice
- On Projects, click Invoice client in the row (it shows once a report of the project is made), or open the row's ⋮ menu and choose Invoice client (or + New invoice in the project panel, or Invoice with this map on Compare maps).
- Check the client: name, email and phone (optional). Invoices and reminders go by email only. They are saved on the project for the next invoice.
- Pick the service: Septic design, Design staking or Design revisions. The line and price come from your usual prices (Settings); change them, or Add a line for a site visit or a permit fee.
- Set Estimated completion (days after payment) and Pay within. Tick When paid, set the project's due date... to have the project's due date and status follow the payment.
- Choose the payment schedule: the full amount, or a deposit now and the rest when you deliver the design.
- Pick which map the invoice is for. Its fit % and install estimate show beside it. Attach the shared link to that map (view-only, your client can comment), its last report (PDF) and your contract.
- Choose your contract wording (yours or the landplan.io default; words in brackets fill in from the project) and add a note to the client.
- The right side shows the totals and the email your client receives. Send invoice emails it from landplan.io. Copy a draft gives you the pay link and the email to send from your own email instead.
The project's status changes to your "Awaiting payment" status when you send it.
What your client sees
The email has the invoice, your note, View and pay securely, and the links you attached. Replies reach you.
The pay page shows your company, the amount, the project with the proposed layout, when the design is due if they pay today, the contract to agree to, and the payment form: Card or Bank account (a lower fee; it takes about 4 business days to clear). After paying they get a receipt by email, with the PDF.
After payment
- The invoice shows Paid (or Deposit for a deposit), and you get an email and a bell notification.
- With the due-date option on, the project's due date becomes today plus the completion days and its status your "Paid" status.
- The money is held for a few days (refunds and disputes), then paid out to your bank on the next payout day. You receive the price less the landplan.io fee; the invoice window shows the exact amount before you send.
- Paid by check or cash? Mark paid (check/cash) on the project's Billing card.
Reminders
- To your clients: unpaid invoices get friendly reminders 3 days before the pay-by date, on the day and 7 days late (Settings › Reminders and invoicing › Reminders to clients: turn them on or off, choose the days, edit the wording, copy yourself). Send reminder on a project, or Send reminders for the ticked projects, sends one now.
- To you: projects due soon, due today and overdue, and invoices your client opened, paid or let go overdue show on the bell in the toolbar. Tick Also email me these for a daily digest (Settings: the time, nothing on weekends, per event).
Organization invoices
Invoices in the menu lists your invoices, or every member's when you are your organization's Owner, an Admin or a Billing member: totals (open, overdue, paid this month, days to pay, payouts on the way), tabs by state, a designer filter, and Send, Remind, Bill balance, Copy link and Receipt on each row. Export for accounting downloads a CSV.
Fees
landplan.io adds a service fee for your client (5% by card, 1% by bank by default) and keeps a fee from your payout (5% by default), set by landplan.io for your plan. Settings › Reminders and invoicing › Fees on paid invoices shows your rates. Example: a $1,100 invoice costs your client $1,155 by card or $1,111 by bank, and pays you $1,045.
